Equipment Detail

The maintenance activities for a piece of equipment can be broken down into
various logical blocks (general, electrical, mechanical etc.).   The overall
main equipment and its' component subsystems can each have unique scheduling
and maintenance instructions assigned.

Each piece of equipment or subsystem has a detailed record associated with it.

Some of the key items are:
 
Interval between maintenance
       - units can be day, week, month or meter count
 
Picture of item to be maintained
 
Custom user defined fields
 
Maintenance instructions
 
Cost / Time information
 
General notes - free format

 

Recording Maintenance Events

Each time a maintenance activity occurs, various elements can be recorded.

This can include descriptive details, downtime/repair codes, parts used, costs and time.

 

Work Orders

In addition to a scheduled preventive maintenance,  a work order can be created for unscheduled maintenances.
 

 

The items appearing on the work order report include:

  Maintenance instructions
 
Picture of item to be maintained
 
Due date
 
Free format comments
 
Labor and material costs
 
Sign off space for completed work order

 

Skip Holidays

A calendar is available to block off dates when no scheduled maintenance activity is desired,
such as a plant shut down, vacation, weekends etc.

 

Reporting Flexibility

The criteria for identifying the equipment to be included in the selected report
are user determined.

Some of the key elements that provide a more focused report are:
 
Filtering and sorting on: equipment id, location, etc.
 
Date range selection
 
Select fields to appear in the report

Many practical reports are available including:

Equipment due for maintenance list
 
Cost / time analysis
 
Equipment maintenance history
 
Spare parts inventory and reorder parts
 
Analysis of downtime reasons, repair categories and idle time

 

Due Calendar

The days that equipment maintenance is required is  identified on a calendar for the selected month

 

Equipment Due for Maintenance Report

This is a listing of the equipment due for maintenance based on the selection criteria entered
such as date range etc.

 

Equipment History Report

All activities performed on the equipment are summarized in the history report.

 

Cost - Time Analysis

A matrix of costs and time for each maintenance activity is displayed.

 

Efficiency Analysis

A comparison of scheduled date versus actual maintenance date is performed. 

If the actual maintenance date exceeds the scheduled date by a user entered grace period
the report will display it as not done on time.

 

Reason Analysis

An ordered list from worse to best of the following elements provides information on
 where to focus improvements:

  • Downtime reasons
 
Repairs made
 
Idle time

 

Spare Parts Inventory Management

Each record includes the part number, description, quantity on hand, minimum quantity and unit and total cost.


As parts are used during maintenance activities the part inventory quantities can be automatically adjusted.

 

Spare Parts Re Order

A report of parts that need to be reordered can be generated.

 

The system also provides a suppliers list for each spare part.
 

 

Supplier Data Base - Spare Parts

A supplier database can be set up containing complete address and contact details

 

Export

The contents of different reports can be sent to external files.

 Many popular spreadsheet, data base, word processor and other file formats are supported.

In addition the software provides an option to send a report via e-mail.
